Are you planning to use QR codes in event marketing?

QR codes are becoming an increasingly popular way to promote events. By adding a QR code to your marketing materials, you can make it easy for people to learn more about your event and even register for it. Here are 8 tips for using QR codes in event marketing:

Decide where to place the QR code.

Effectively use QR codes in event marketing by placing them in the right place.

Put your event QR code to a place where it’s easily accessible by people with a smartphone camera. Usually, the ideal location for a QR code is in an open area, away from obstructions like trees, coffee tables, and other people.

You can also put the QR code at the storefront or on social media websites. Doing this increases your chance of people noticing your QR codes in event marketing.

Use a QR code generator to create your code.

There are many free online QR code generators that you can use to create your code. Just do a quick Google search for “QR code generator”, and you’ll find a variety of options to choose from.

To save your time, use our QR code generator instead. Unlike other QR code generators, we allow you to create custom QR codes even if you are a free user.

Include instructions for how to use the code.

Even if someone can scan your QR code easily, they still might not know what to do with it unless you tell them! That’s why it’s a good idea to post the event QR code along with instructions so people will know how to use it.

Remove all unnecessary information from the image of the QR code itself.

When you’re designing the image for your QR code, remove all unnecessary elements that might cause scanning problems. For example, if you are putting your QR codes on flyers then leave only the code itself and be sure to remove any text or graphics around it.

If you need to accompany the QR code with some texts, be sure to make a separation. Doing this helps people to scan QR codes easily.

Enhance your marketing materials by linking them directly to registration forms.

If you have a QR code that links directly to a registration form, people can easily register for your event without having to go through any extra steps. Just be sure to make the registration form easy to use on a mobile device!

Linking QR codes to registration forms is easy, especially if you create them here at QR Stuff.

If you don’t know how to make online registration forms, check this blog. It shows you how to create online forms using Google Forms.

Promote your event with even more QR codes on posters and flyers in addition to traditional text-based marketing materials.

QR codes can be an effective way to promote your event, but they are most effective when used in conjunction with other forms of marketing like direct mail, online ads, social media posts, etc.

Different Ways to Use QR Codes for Meetings and Events

Are QR codes for meetings useful?

If you’re hosting a meeting, you want everyone to make the most of it. You may accomplish it with the aid of a QR Code.

Make it simple for people to register

If you’re planning a conference, you’ll need attendees. If you have a list of people you want to invite, this is ideal. However, if you don’t, you’ll have to rely on individuals to register on their own.

It takes time to send out registration forms to those who are interested, and there’s no assurance that they will fill them out.

So, here’s what you can do: incorporate a QR code to assist people to fill out the form fast. When they scan it, it directs them to an online form where they may fill out the necessary information. There’s no need for guests to type manually or for you to compile data.

Creating a QR code for Online Forms

Here’s how you can create QR codes for meetings that link to online forms:

  1. First, go to https://www.qrstuff.com/?type=websiteurl and have the “Website URL” data type pre-selected from the Data Type section. qrstuff.com website URL
  2. After choosing the Website URL data type, a field appears. Paste the address or URL of your online form. You can create an online form for your event using Google Forms.
  3. Once done, wait for the QR code to finish processing and a download button will appear.

Give information about the meeting

Providing information about the meeting, such as its date and location, agenda, or speaker list, is a good idea.

You can print some of them on invitation cards. However, there’s no assurance that can include all of the necessary information due to the restricted print space. This is where QR Codes can help.

You can include QR codes in your invites. People will be able to view as many details as they like when they scan it. There’s no need to be concerned about print space any longer.

People who scan the QR code are also able to add the event to their calendars as soon as it is scanned.

Creating a QR code for PDF Meeting Details

Here’s how to create QR code that contains details about your meeting or event:

In this example, we’ll assume that the details of your meeting are in a PDF file.

  1. First, go to https://www.qrstuff.com/?type=pdf and have the “PDF file” data type pre-selected from the Data Type section.qrstuff.com PDF data type
  2. Next, in the Content Section, upload the PDF file that you want to link.qrstuff.com content for PDF QR code
  3. Wait for the QR code to finish processing. Then, download your QR code for your mobile app. qrstuff.com download PDF QR

Verify the authenticity of visitor entries

Any event planner is concerned about validating visitor entries. Not only must the procedure be secure and dependable, but it must also be quick.

QR Code-based tickets can assist you in accomplishing this:

  1. Your visitors get printed or digital tickets (through email), each with a unique QR Code.
  1. Guests must present their tickets to event organizers at the entrance gate.
  1. The coordinator scans the QR Code with his smartphone.
  1. When the QR Code is scanned, it displays if the entry is genuine, invalid, or duplicate.

You check the tutorial here on how to set up your QR code for attendance tracking.

Share Documents Right Away

If you’re only conducting meetings through video calls, or Zoom, all you need to do is create a QR code that links to your files, and show it to the meeting attendees .

Creating a QR code for meetings that links to your files is similar to creating a QR code for online forms. Just follow the steps outlined above and paste the URL of your file in the Content section.

In case you’re sharing multiple files, upload them to a file-sharing website first, like Google Drive. After uploading the files, copy the folder’s URL and then paste it into the content section of our QR code generator.

If you have multiple links to include, it’s best to create a landing page. In your landing page, you can just include the links to your website, social media pages, and other necessary information about your business.

QR Codes for Conference Posters

Posted: May 19th, 2019 | Author: | Filed under: Event Management, General | No Comments »

Every once in a while, business people and like-minded professionals hold conferences to discuss a certain relevant topic.

Scientists or academics meet at an academic conference to talk about research findings or conduct a workshop. Business people attend business conferences to talk about the latest trends and opportunities for the business. Businessmen and members of the public connect with vendors through trade conferences where there are workshops and white paper presentations.

If you plan to organize any of these conferences, you need to make sure that every attendee receives the invitation to the conference ahead of time. Sending a QR code that redirects the attendees to the site URL with the conference poster saves you a lot of time!

But first, you need to create a site using Google Site. This is where you enter all the details about the conference program and create a map that helps attendees find their way to the event’s location.

In this blog post, we discuss how to create a Google site so you can share your conference program details and a detailed map as well. We also show you how to create a QR code for the Google Site.

Creating a Site through Google Site

Google Sites simplifies the website building task for you through its ready-made platform. With its drag and drop feature, it’s easy to create the content that you need when publishing a conference program.

  1. Create Your Site. To create a website through Google Sites, first go to www.sites.google.com. Then click the plus sign button on the lower right-hand corner of the screen. You are then redirected to an Untitled Site. Give it a unique name so you can easily distinguish and track the site. After you publish the site, you can view the site document name. Keep in mind that two or more pages are required for the site name to appear.
  2. Select a Theme. Make your site stand out with Google Sites Themes. On the top right of the page, you see the option where you can select different themes and adjust the font styles, colors, and backgrounds of your site.
  3. Add Content.  Now you can insert the image with the details for the conference program. At the right side of the navigation, you see the option to insert a text box, image, embed code from the web or insert files from your Google Drive. You can also choose from the different layouts available. Additionally, you can insert different elements such as Table of Contents, Button, Divider, YouTube video, Calendar, Google Map, Google Docs, Google Slides, Google Sheets, Google Forms, and Google Charts. Insert a Google Map Link to the Site. After you insert the picture of the conference program, you can also insert a map by scrolling down the menu on the right. There is an option to insert a Google Map link. When a dialog box appears, enter the specific address of the location of the conference program.
  4. Publish Your Site. Click “Publish” on the top right and a pop-up box appears where you need to indicate a unique name to the end of the URL of the site. You can always come back and edit the URL. Just make sure to provide a URL that has not been registered in the web domain by other users. Make sure to select “Anyone” under the line “Who can view my site” so that users scanning the QR code can see your Google Site. Make sure to copy the URL because you will be using it to create your QR code.

How to Generate a QR code for Google Sites

  1. Go to https://www.qrstuff.com/?type=websiteurl and have the “Website URL” data type pre-selected from column 1.
  2. In Column 2, enter the Google Sites URL in the given field.
  3. You can now download the QR code by clicking the “Download QR Code” button.

Make it a Bit Fancy

Paid subscribers can enjoy more features than free users. They are allowed to change the colors of the dots and corners of the QR code. Embedding an image at the center is another feature that they can enjoy through the QR code styling feature. Just follow the steps as discussed above and before downloading the QR code, click the “Style Your QR Code” button to customize the QR code.

The QR code shown in the left is an example of what paid subscribers can create with our QR Code Styling Feature. Generated codes can turn into more appealing and distinctive QR codes for their users.
